This statement explains why we ask for your personal information (“data”), how we store it, how we use it, and with whom we share it. The statement also outlines your rights in relation to the data.
We ask for your data for several reasons:
(a) we want you as an individual to be part of the Berkshire Yeomanry family;
(b) we want to be able to contact you by mail or email or through social media to keep you up-to-date with the Association as a whole and with developments in the serving Squadron;
(c) we want to inform you about events arranged by the Association and invite you to attend such events; and
(d) we want to maintain, for historical reasons, a record of all those who have served at one time in the Berkshire Yeomanry.
We store your data electronically. The data is protected in a variety of ways including electronic and physical safeguards.
We use your data to send you newsletters and journals produced by the Association and to invite you to reunion events and dinners. We also allow family members researching their family histories to look at the data if relevant to their research. We have procedures in place to ensure that, if you so wish, you will not receive newsletters, journals or notices of events.
We share your data where relevant with the Berkshire Yeomanry Museum, the Berkshire Yeomanry Regimental Trust, the Hungerford Star Club, and the Berkshire Yeomanry Officers’ Dining Club.
If you donate an item to the Museum then, in order to maintain proper records, we will hold permanently your personal data relevant to the donation. If you have contacted the Museum for information or advice than we will keep your personal data in order to continue to be of assistance to you.
For compliance reasons we keep your data for a minimum of 6 years after the last event you attended. We keep some data, which is of historical interest, for all time. After 6 years you may instruct us at any time to remove your data so that only the data of historical interest remains.
You are entitled, on application in writing to the Secretary of the Association and/or the Secretary of the Museum Trust, to view the data we hold for you.
We understand that your data and your privacy are important to you. We make every effort to ensure that the data you provide is recorded accurately, retained securely and used only in accordance with the details set out above. We adhere to all current data protection legislation and, other than as set out above, we do not give out or sell any data to third parties.
